Position Description
The Accounts Payable Associate is an integral part of the accounting team. This role will work closely with members of the team and other departments to process transactions and provide accurate data and analytical support in an efficient and timely manner.   This is a full-time, direct-hire position.
  • Accounts Payable work experience 2+ years
  • Accounting Associate Degree a plus
  • Previous experience with purchase orders, receiving reports & matching invoices, Psigen, NAV, & SharePoint a plus
  • Responsible for all aspects of recording, processing and reconciling accounts payable invoices
  • Monitor all vendor payment agreements to find discounts that can be used to reduce invoice amounts
  • Keep track of credits owed to the company and ensure all credits are properly applied to vendor payments
  • Reconcile payable reports each month to confirm that all amounts paid were accurate.
  • Perform quality control and problem resolution by reviewing daily documents checking for completeness and accuracy.  Move documents from Email to Psigen (OCR scanner software)
  • Capture metadata using Psigen and send electronically to SharePoint for reconciliation
  • Assure all monthly, weekly, and daily deadlines are met in the reconciliation process
  • Serve as liaison between Vendors/purchase order team and Accounting staff to reconcile discrepancies
  • Systematically maintain Vendor Information file
  • Monitors discrepancies and makes needed adjustments
  • Assist with Sales & Use Tax Preparation
  • Assist with identifying, developing and implementing process improvements and accurate and consistent procedures to help promote reliability across business units, increase efficiency and improve quality
  • Other tasks and duties as assigned

Abilities and Physical Demands
  • This is largely a sedentary role.  There are duties required that involve lifting files, opening cabinets and bending or standing as necessary
