Facilities Maintenance Coordinator II

The Facilities Maintenance Coordinator II will administer office functions that support our compliance FMOS documentation, departmental accounting, and purchase order functions, Perform preventative life safety functions as assigned for Medxcel throughout the location of Ministry St Michael's Hospital­Stevens Point WI. In addition this position administers office systems and coordinates vendor management. Works with department manager organizing daily operations, assigning work orders to associates, training new associates, communication with external departments and scheduling meetings. The coordinator is also responsible for any ad-hoc data input, as well as assistance in committee meeting preparation and reporting. The facilities coordinator II serves as a Subject Matter Expert and voice to our stakeholders. This position may serve in multiple additional roles depending the facilities in which they serve. 


Office Administration Duties: 
  • Presents a professional, welcoming first contact to all clients, vendors, staff, etc. - by phone, in person, and email
  • Keeps office equipment maintained
  • Provides general meeting support: including arranging, follow up calls, maintaining office space schedules, securing food and supplies, copying+ faxing
  • Assists leaders in preparing committee reports, including maintaining or obtaining data needed by the various committees 
  • Orders and manages supplies/tools and maintenance of storage areas 
  • Makes staff travel arrangements and expense tracking, program and stipend supplies, etc. 
  • Identifies and implements systems to streamline and gain efficiencies in work processes 
  • Organizes and coordinates projects, conferences and other events 
  • Participates in multidisciplinary meetings, committees, and projects addressing issues related to educational initiatives, conflict resolution, cost containment issues, implementation of new services/systems, and performance measures
  • Prepares meeting minutes & follow-up on action items
  • Works on special projects as needed
Work Order Maintenance Duties: 
  • Schedule and conduct life safety equipment checks weekly and monthly; this includes fire extinguishers, alarm systems and signs, and other equipment identified by onsite leadership 
  • Work with the maintenance team to schedule and assign work orders 
  • Track and document completion of work orders throughout the facility 
  • This position will require minimal physical or streinuous activity when completing work orders



  • High School Diploma or equivalent required
  • Completion of a recognized program in vocational training for the relevant trade required


  • Five years (5) supporting office and maintenance teams required
  • Experience in healthcare facility preferred
