Administrative Associate II

The Portage County Family Court Commissioner department is hiring a part time (20 hrs / wk) Administrative Associate II to join their team!

What is a summary of the position?

This position is responsible to perform a variety of routine and complex clerical and administrative duties providing support to the Family Court Commissioner.  The position will be responsible for answering telephone calls from attorneys and pro se litigants, receiving correspondence to the Family Court Commissioner, scheduling, preparing basic orders and correspondence, and communicating with stakeholders such as child support, corporation counsel, and the Family Law Information Center.

What are the primary job duties?

  • Maintain court calendar for cases and scheduled and prepares a weekly printed court calendar.
  • Send notices of pending court actions and dates of hearings to attorneys and/or parties.
  • Opens, authenticates, and disburses mail to Family Court Commissioner.
  • Scan proper documentation into case files.
  • Keep accurate and up-to-date files regarding Mediation.  Preparing orders for mediation, keeping track of when proposed parenting plans and fees or waiver due.  Alerting Family Court Commissioner when materials are not received in a timely manner.  Preparing an order for mediation and payment of mediator when litigants have met requirements.
  • Keep an updated list of mediators, the number of cases they are given, and the number of successful mediations, impasses, and unconcluded mediations pending or concluded.
  • Keep an updated list of Guardian ad Litems with notations of recent appointment dates.
  • Performs clerical duties; prepare folders, labels and forms.
  • Works with members of the public in a respectful and helpful manner.
  • Handles family law forms and understanding the appropriate procedural posture of that paperwork.
  • In cases where there is a conflict and the Family Court Commissioner cannot hear a matter, contact the Assistant Family Court Commissioner and schedule with his calendar.

What are the minimum requirements?

  • High School diploma or equivalent.
  • A minimum of two semesters course work from an accredited vocational, college or technical school in Legal, Business, Public Administration, or related field.
  • Work experience in a related legal field, or experience in a Clerk of Courts Department preferred.
