Job Summary
The Appointment Coordinator will assist Stevens Point Orthopedics with all functions necessary to facilitate a friendly, effective and smooth front desk operation in a patient-centered orthopedic practice. The Appointment Coordinator handles phones, patient scheduling, patient registration, eligibility verification, documentation and numerous other administrative tasks. The individual performs in a manner consistent with Stevens Point Orthopedics’ mission, policies, and initiatives while maintaining patient confidentiality at all times.

Essential Job Functions

  • Answer phones using a friendly voice and screen/transfer calls.
  • Take phone messages from patients, patients’ family members, physical therapy and other physicians. Complete follow-ups in a timely manner.
  • Conduct reminder calls for the next day’s appointments.
  • Check in patients: verify patient information, collect co-payments, co-insurance and past due amounts, document payments and provide receipt to patients.
  • Schedule new/established patients, consultations, x-rays, MRIs and other necessary testing.
  • Ensure that the lobby and reception area are clean and orderly at the beginning of every shift.
  • Maintain a professional environment.
  • Uphold confidentiality and HIPAA compliance at all times and report violations to the Privacy Officer.
Job Qualifications
Minimum Required: 
  • High school diploma or equivalent required. Completion of a 2-year college degree or equivalent certification in medical office administration preferred.
  • Minimum of 2 years’ experience working at a front desk position in a physician practice or equivalent experience and education.
  • Significant experience using phones and medical practice management software in a medical office.
  • Knowledge of medical office procedures and basic medical terminology
  • Basic clerical, computer and office automation skills
  • Cheerful, pleasant communication style and phone manners
  • Strong interpersonal skills and ability to work in a team environment
  • Strong organization skills for completing numerous tasks
  • Collaborative work habits and cheerfulness in responding to patients and when referring physicians, pharmacies and all other persons needing assistance
  • Ability to maintain confidentiality of all personnel, financial, clinical and business practice information according to office policies and relevant laws, rules and regulations
