Job Summary
The Appointment Coordinator is responsible for assisting Stevens Point Orthopedics in ensuring a welcoming, efficient, and seamless front desk operation within a patient-centered orthopedic practice. Key duties include managing phone calls, scheduling appointments, registering patients, verifying eligibility, maintaining documentation, and handling various administrative tasks. The individual is expected to uphold Stevens Point Orthopedics’ mission, policies, and initiatives while always prioritizing patient confidentiality.
Essential Job Functions

  • Answer incoming calls courteously and efficiently, screening and transferring as needed.
  • Record and relay messages promptly and accurately from patients, their families, physical therapists, and other providers, ensuring timely follow-up.
  • Conduct reminder calls for upcoming appointments scheduled for the next day.
  • Efficiently check in patients by verifying and updating their information, collecting co-payments, co-insurance, and outstanding balances, documenting payments, and issuing receipts.
  • Schedule appointments for new and existing patients, consultations, diagnostic tests such as x-rays, and MRIs, and any other necessary procedures.
  • Maintain cleanliness and organization of the lobby and reception area at the start of each shift.
  • Foster a professional and welcoming environment for all patients and visitors.
  • Adhere to confidentiality protocols and always ensure compliance with HIPAA regulations, promptly reporting any violations to the Privacy Officer.
 
Job Qualifications
EDUCATION

Minimum Required
  • High school diploma or equivalent is required. Completion of a 2-year college degree or equivalent certification in medical office administration is preferred.
  • Minimum of 2 years of experience working at a front desk position within a physician practice or equivalent experience and education.
  • Significant experience using phones and medical practice management software in a medical office setting.

SPECIAL SKILLS/EXPERIENCE
  • Knowledge of medical office procedures and basic medical terminology.
  • Basic clerical, computer, and office automation skills.
  • Cheerful and pleasant communication style with excellent phone manners.
  • Strong interpersonal skills and the ability to thrive in a team environment.
  • Strong organization skills to manage multiple tasks effectively.
  • Collaborative work habits and a cheerful demeanor when assisting patients, referring physicians, pharmacies, pharmacies, and all others.
  • Ability to maintain confidentiality of all personnel, financial, clinical, and business practice information in accordance with office policies and relevant laws, rules and regulations
